Managing Saved Participant Exports

The Exports page gives you a central place to view, re-run, edit, and manage all your participant export configurations. Every export you run is automatically saved here so you never have to set one up from scratch again.


Getting to the Exports Page

In the Participants / Community section, click Exports in the left sidebar. You will see a table of all saved export configurations for your research domain.


The Exports Table

Each row represents a saved export configuration. The table shows:

  • Export Name — the name given to the export. Click the name to open the edit drawer.

  • Export Type — the file format (CSV or SPSS)

  • Last Run — the date the export was last run, or a status if it is currently in progress

  • Created By — the team member who originally created the export

  • Description — optional description added at setup

  • Actions — download icon, re-run icon, and an overflow menu (···)

You can search across export names and descriptions using the search bar at the top of the page.


Export States

Each export has a state that tells you whether it is ready to download, still processing, or needs to be re-run.

State

What it means

Queued

The export has been submitted and is waiting to be processed

Running

The export is currently being generated

Available

The export has completed and is ready to download

Expired

The export previously completed but the file is no longer available — re-run to generate a fresh file

Failed

Something went wrong during generation — re-run to try again


Downloading an Export

When an export is in the Available state, a download icon appears in the Actions column. Click it to download the file to your browser.

If the export has Expired, click the re-run icon to generate a fresh file.


Re-Running an Export

Re-running an export fetches the latest participant data using the same saved configuration — same member segments, same data points, same format. Every re-run is a fresh export.

To re-run, either:

  • Click the re-run icon (circular arrow) directly in the Actions column, or

  • Click ··· and select Re-run export

The export icon in the left sidebar will animate while the export is generating. You will be notified when the file is ready to download.


Creating a New Export

To create a new export configuration without going through the Directory:

  1. Click New Export in the top right of the Exports page.

  2. Fill in the export name (required), description (optional), file format, and base settings.

  3. Click Manage Dataset to select which data points to include.

  4. Run the export to download the file and save the configuration, or save without running to add it to the list for later.

Editing a Saved Export

To update an export's name, description, format, base settings, or data points:

  1. Click the export name (blue link) in the table, or click ··· and select Edit.

  2. Make your changes in the edit drawer.

  3. Choose how to save:

    • Save — updates the configuration without generating a new file

    • Save and Re-run — updates the configuration and immediately runs a fresh export

Note: Export names must be unique within your research domain. If you enter a name already in use, you will see a validation error before you can save.


Deleting a Saved Export

  1. Click ··· on the export row you want to remove.

  2. Select Delete.

  3. Confirm the deletion in the dialog that appears.

The configuration is removed immediately. This does not affect any files you have already downloaded.


Permissions

All research domain users and admins can view, create, edit, re-run, and delete any export configuration on the Exports page.
