Monitoring Quotas in the Dashboard

  • The Quotas Dashboard lets you track quota fulfillment.

  • Customize which columns appear by clicking the Customize Table icon.

  • Deleted rows can be hidden for a clearer view.

Understanding Quota Counts

  • Quota counts are incremented when a participant’s engagement ends.

    • If the engagement is marked as complete, it will be counted towards the quota’s overall completes

    • If the engagement is marked as over quota, it will be counted towards the quota’s OQ count

  • If a participant meets multiple quotas, each applicable quota target is incremented upon completion.

  • After a quota target is met, all subsequent participants that match the criteria for that quota will be flagged as Over Quota.

  • Complete count displays the number of participants that have completed the chat and meet the criteria for that bucket.

  • A participant can appear multiple times in the counts for several reasons:

    • When a chat engagement ends with a complete or OQ status, the chat completes/OQ count value will be incremented in both the quota parent and the individual quota bucket for all applicable quota targets.

    • If you have added multiple quota targets to your quotas, a participant may show up in multiple chat complete counts.

Updating Quota Targets

  • You can adjust quota targets while a chat is in the field.

  • Quota targets cannot be set at values lower than the existing counts.

  • To make changes to your quota targets, navigate to the Quotas tab and modify the target values in the table and publish changes. Or click on the actions menu and select the option to edit target or edit over target allowance.

Deleting a Quota

  • You can delete quotas only if they have not been used.

  • In the Quotas tab, select the quota you want to deleted, click on the Actions menu and select the option Delete.

Reporting on Quotas

  • Over Quota responses are included in Chat Data but excluded from reports by default.

  • You can choose to include or exclude Over Quota data in exports and reports.

  • Topline reports always exclude Over Quota responses.


Common Questions

Can quotas be copied across multiple chats?

Yes, quotas can be duplicated when copying or duplicating a chat script. However, quota counts do not carry over—only the structure and targets.

Why can't quotas be created on hidden variables before publishing?

  • Unlike question-based quotas, hidden variables do not exist in the chat structure until it is published.

  • Once the chat is published, the hidden variable becomes a stable reference and can be used for quota assignment.

  • This limitation does not apply to question-based quotas because questions are defined during chat authoring.

Can I manually adjust quotas after participants are removed?

  • Deleting a participant marked as complete will decrease the number of completes for all quota targets that matched this participant.

  • Deleting a participant marked as over quota will not decrease the OQ count in the quotas table.

    • This is because the OQ count column is used to record which quota targets were full at the time that the participant was marked as over quota.

  • To avoid having less completes or quality data than desired it is good to allow for a little bit of over quota

  • The Over Quota number in the Chat hub will decrement when a participant flagged as over quota is deleted. This is because participation statistics represent your final data set.

Can i create new quotas mid survey/chat?

  • Yes, you may create quota targets after the fielding of your chat has begun. Navigate to the quotas tab and add the targets that you desire. Any responses that have already been collected will be applied to the quota targets you set.

  • After setting quota targets, ensure that you add the required quota cards into the chat script in order to set the appropriate logic in the chat. Once you’re finished, remember to publish the chat to apply your changes.

How do I handle multiple quota sources (e.g., community vs. external sample)?

Use hidden variables to distinguish sources and apply quota logic accordingly.

When do quotas start counting?

  • An engagement is counted towards quota targets once it has finished with a complete or over quota status.

  • Quota targets will always reflect the current number of responses available in your data.

  • Any desired chat logic with quotas must be facilitated with quota cards put in the chat script.

What happens when a quota is edited while live?

  • Increasing a target allows more participants.

  • Decreasing a target below current counts blocks new responses but does not remove existing ones.

How do I handle multiple quota sources (e.g., community vs. external sample)?

Use hidden variables to distinguish sources and apply quota logic accordingly.

Can I create quotas on input variables?

Quotas on input variables are currently unsupported, but hidden variables can be used to achieve similar functionality.
